Logging into Your CareerPlug Account

Visit app.careerplug.com in your web browser and enter your email username and password. If you do not remember your password, you may select ‘Forgot your password?’ and follow the guided steps to set a new password.

Once you log in, if you see at the top of your screen that you have both the Applicants and Jobs tabs, that's great news — this is the right guide for you. If you don't have access to the Jobs tab, click here for the best user guide for you.

Posting your first job

On the Jobs tab, click the Post a Job button at the top of your screen.

Select a job template (if you have them) or start with a blank job posting form. Confirm your location and click Create Job to continue.

Select your job's status:

  • Active - Your job will be immediately posted on your Careers Page and sent to the external job boards. It will appear on job boards within 24-48 hours
  • Accepting for Future Openings - Your job will be created and posted on your Careers Page, but not on any additional job boards. On your account, the job will be located under the 'Passive' tab. Passive recruiting is important. For example, imagine one of your A-players quits and you are unexpectedly left shorthanded. You're scrambling to write a job description and get into hiring mode while your team is feeling the absence. On the other hand, if you’re constantly searching for A-players, building your talent pipeline, and fostering relationships, you’ll already know where to find the best candidates when your A-player quits with two weeks’ notice.
Adjust email notification settings:
Select a user who you would like to receive notifications about applicants to this job and adjust their settings.

Prescreen Questions

These are questions on the application page that an applicant must answer in order to apply. Use the search feature or scroll through the library to select a question, then click the plus sign to the right to add. You can also add your own question by clicking Add Blank Prescreen Question.

We recommend asking 4-5 questions. Too many questions might overwhelm applicants and make it more difficult to apply.

Fast Track
You can identify and contact your top applicants faster using Fast Track. Based on responses to initial prescreen questions, applicants will be sorted as Fast Track or Disqualified. When editing a prescreen question, you can choose the Fast Track type from a dropdown list:
  • Normal (default): This means that no matter how the applicant responds, the response is scored normally and will not be considered for Fast Track.
  • Auto Fast Track: This means that no matter how the applicant responds to other prescreen questions, if they select an Auto Fast Track response they will automatically be considered Fast Track. This is useful if you have one key response or requirement you know you will want to move forward with in the hiring process.
  • Fast Track: This means that if the applicant chooses a Fast Track response, that person has the potential to be considered Fast Track. These applicants must correctly select all other Fast Track responses you have set up in order to be considered Fast Track.
  • Disqualify: This means that an applicant should not be considered in the hiring process if they select a Disqualify response.


Checking the Math/Verbal and Personality Assessments does not mean that an applicant will be required to take them, it simply gives you the option to send it to them during the hiring process. Use the assessments to measure candidates on the characteristics most important to the position.

The Math/Verbal Assessment is a cognitive ability test that focuses on applicant problem-solving skills, numerical skills, verbal skills, and reasoning, which are aspects of cognitive ability. The purpose of the assessment is to gauge the applicant’s potential to acquire new job information and solve problems on the job. It is a 12-minute timed test.

Personality Assessment: The scales included below measure 16 different personality traits that are important predictors of successful job performance across a variety of occupations. You have the option to pick and choose the personality traits that apply to the particular position for which you are posting.

Sponsoring a Job with Indeed
Rather than needing to communicate with an Indeed rep and manage all of your sponsored jobs on Indeed, you now have the ability to sponsor a job directly through the CareerPlug.

Click the 'Sponsor' link under a job you wish to sponsor with Indeed.

This link opens a pop-up that allows you to set a budget for the job posting and enter your Indeed account information. This will set the job as sponsored in CareerPlug's standard Indeed feed and set the budget for the job based on the option selected in the popup. The next time the feed updates, Indeed will process the sponsorship request. This means that sponsoring your job through CareerPlug will not be instant and may take up to 12 hours to update in the feed. If Indeed has questions, needs to collect payment information, or otherwise contact the user about their sponsored posting they will do so outside of CareerPlug. Posting a Job to Outside Sources
We recommend posting on as many outside sources as possible in order to ensure that you are getting your job posting in front of as many top quality applicants as possible. While the job boards CareerPlug automatically posts your jobs to often produce a high volume of applicants, posting on local job boards, getting the word out on social media, and posting to Craigslist can bring in many more strong applicants.
To post your job to local job boards and other sources, go to your Jobs tab and find the job that you would like to post to additional sources and click the Share button under that job.

To post to Craigslist or Google+: Choose those sources in the drop-down, click 'Get Link,' and you will see an HTML job description that is pre-loaded with formatting for you to copy/paste, and a source link appears below. Use this source link so you will know which source your applicants are coming from.

To post to a social site, like Facebook, LinkedIn, or Twitter, click the 'Social' tab and follow the instructions.

To post to a source that is not listed (for example, a local university or Chamber of Commerce), click 'Add New Source.' Type the name of the source into the box labeled 'Source Name,' click the source from the drop-down menu, and click 'Add.' This creates a unique URL that you will use when posting to external sources. In order to drive applicants back to your Careers Page, you must include this unique URL in whatever external job posting you create. You can always find this link again by clicking on the name of the source from your Jobs tab.

Utilizing Job Categories
To increase the online visibility of your jobs, consider adding job categories on your jobs. Job categories are sent to the various search engines and can help increase the visibility of your job for job seekers interested in those industries.

Job categories can be selected on a job when it is posted or edited. Simply select the categories that are most relevant to the job posting from the drop down and click the plus sign to the right to add.

Posting at a Later Date
Setting a job to post at a later date lets you set a job to post on the best days for applicant flow — Monday through Wednesday — without having to log into your account on those days. Job seekers are most active on the job boards Monday through Wednesday, so we recommend posting your jobs these days to give you the highest visibility for your jobs and highest potential applicant flow.

There are three instances in which you can set a job to post at a later date:
  • When you create a new job: When you click the Post a Job button from your Dashboard or Jobs tab, there is a checkbox under Job Status that says 'Post this job at a later date.' Checking this box expands a field where you can select the date you'd like the job to be automatically posted to the job boards. Use the calendar icon to select any date in the future you'd like your job to be posted. When you click the button to Save Job, the job will be saved on your Pending tab, with a note stating when the job will automatically be posted.
  • When you reactivate an inactive job: On your Inactive jobs tab, when you click the Activate link to the right of a job, you get a pop up asking you to reactivate the previous posting with the option to check the 'Post this job at a later date' checkbox. When you check the box, you can select the date that you'd like your job posted. When you reactivate your previous posting, the job will then be saved in your Pending jobs tab, with a note stating when the job will be automatically posted.
  • When you refresh a job on a Thursday through Sunday: If you click the button to refresh a job on Thursday - Sunday, you'll get a pop-up asking you if you'd like to refresh it at a later date.

How to Refresh Your Jobs

The job postings that you create through your CareerPlug system are automatically posted to many major job boards. However, those postings will naturally fall off of the job boards if they are not refreshed once per month.

To refresh a job posting:
  1. Go to your Jobs tab.
  2. Find the job or jobs that need to be refreshed (there will be a blue Refresh button underneath it if it is ready to be refreshed). To quickly find all of your jobs that need to be refreshed, click on the 'Needs Refresh' section on your Jobs tab.
  3. Click on the blue Refresh button underneath the job posting, to the left of applicant totals. Your job posting will be automatically refreshed within 24 hours, placing it at the top of the job board feeds as a new posting.
Refreshing a job

If there is no Refresh button next to your job, your job is not yet ready to be refreshed. Your job will be ready to be refreshed 30 days after its first posting or last refresh. The person who manages the job will receive an email notification when it is time to refresh the job posting.
*Please note that simply editing your job posting does not refresh the posting. To refresh your posting, you must click the Refresh button.

How to Review Applicants

Review step
View your applicant’s resume as well as their prescreen score — an average grade based on their answers to any prescreen questions that you chose when you created this job listing. The prescreen score gives you a quick idea of an applicant’s qualifications and how they stack up against others who have applied.

As soon as a Fast Track applicant applies, the job's hiring manager will receive a notification email. You will also be able to see the Fast Track icon next to their prescreen score (the green double arrows pictured below).

Assessment step
Sending an assessment can be a great way to learn more about an applicant. To send the assessment links to the applicant, simply click ‘Invite’ under the assessment hiring step. This will load a pre-written email that you can send straight from the system.

Tip: Sending emails through CareerPlug allows you to track the day you sent the email and your entire communication thread will appear on the applicant's record on your Applicants tab.

Interview step
The next steps are the Phone Screen (a basic phone interview with your applicant) and the Interview (an in-person interview with your applicant). Inviting an applicant to the Phone Screen and the Interview works the same way as inviting them to the Assessment. 
  1. Click ‘Invite’ to ask the applicant for some days and times they would be available for the interview. 
  2. Once you and your applicant have agreed upon a time, you can click ‘Schedule’ to send a confirmation email to the applicant and check off a box to sync it to your calendar as well.

Under the Phone Screen, Interview, and References steps you will see 'Scorecards' and a 'Reference Guide.' These are interview guides filled with suggested questions for you to use while you are interviewing your applicant. You can rate your candidate’s responses, make comments on the scorecard, and save their scorecard for other managers to access.

Final Checkpoints

Requesting references works similarly to inviting an applicant to a Phone Screen and/or Interview. Click 'Request' to load a pre-written email requesting professional references.

Background step
CareerPlug does not conduct background checks. However, we do work with Universal Background Screening, which many of our clients use for their background check needs. Working with Universal Background Screening will allow you to fully integrate your background checks with your hiring process. Hire step
Selecting Hire will move the Applicant and all of their information to your Users tab. If you use CareerPlug's Onboarding system, the applicant will also be moved there and accessible under the 'Employees' tab once they log in for the first time. They'll be emailed with instructions for logging in to complete their new hire paperwork.

Make inactive
During any part of the hiring process, if you do not wish to move forward with an applicant, click Make Inactive. This will not completely remove the applicant from CareerPlug, it will simply remove them from your active applicants screen. It will also give you the option to send them a pre-written rejection email.

Clicking ‘More’ on the far right side of an applicant's record will open a drop-down menu with 3 options:
  • Move to Pipeline
  • Share
  • Transfer

Move to Pipeline
During any part of the hiring process, if you find a strong applicant that is not exactly right for the position for which they applied, click ‘Move to Pipeline’ in the 'More' drop-down. Using this option will enable you to save an applicant for future openings for which they may be a better fit.

If you wish to Share an applicant with another member of your team, click ‘Share’ in the 'More' drop-down. A box will pop up allowing you to enter email addresses and an optional message before sending to your recipients.

Clicking ‘Transfer’ from the 'More' drop-down allows you to move the applicant to a different job for which they might be a better fit. Simply select the CareerPlug job you want to transfer them to in the drop-down, then click Go.

Careers Page

Your Careers Page is your custom recruiting site for your company. You can find this by clicking the My Careers Page button in the top right-hand corner of your CareerPlug dashboard. All of your job listings can be accessed from this link, so if you ever need to refer an interested candidate to your job application, you can tell them to apply directly from here.

This link may be placed on your email signature line, on a business card, and even on your company's website. You can also post this link to outside sources such as Facebook or local university career centers to drive applicant traffic from those sources to your CareerPlug system.
